Experienced Payroll Bureau Specialist

We are looking for an experienced Payroll Bureau Specialist to join our established, yet small and friendly team, on a part-time  basis at our head office in Knowle, Solihull.

Job Description:

The main function of the role will be to provide a first class professional payroll and auto enrolment service to clients.

As the Payroll Bureau Manager you will have full responsibility for the firms Payroll Bureau Division, building and maintaining relationships with a varied client portfolio from smaller limited companies through to companies with large weekly/monthly payrolls.

You will know all there is to know about payroll and will be the ‘go to’ person on all related matters within the Firm. You will need to think on your feet and provide technical support to clients on a daily basis and be able to demonstrate a proven background in current payroll legislation, RTI, auto enrolment, CIS, Earlier Year Updates and all period and year end procedures.

Effective communication with clients, staff members, pension providers and HMRC is an important part of the role, so you must have first class people skills and be a confident communicator who is comfortable using the telephone, email and meeting with clients face to face.

Due to the technical nature of this role, a minimum of 2 years previous payroll bureau experience is essential. So you experience should reflect you having ideally worked in a sole capacity processing start to finish payroll. You must have a high level of attention to detail and the ability to prioritise tasks and work to tight deadlines. Experience using Moneysoft Payroll manager would also be highly preferred.

Key responsibilities:

  • Accurate and timely processing of all aspects of client payrolls
  • Process any advised changes (tax code/ bonus / pay rate / address/salary, bonus or commission payments) by agreed cut-off dates
  • Calculating additional items such as holiday pay, unpaid leave,  statutory payments (SSP. SPP, SMP including Maternity funding from HMRC
  • Calculating additional items such as holiday pay, unpaid leave. SSP, SMP, SPP and issuing payslips
  • Processing all new starters and leavers
  • Dealing with queries from clients, their employees and the relevant local authorities.
  • To review reports, check accuracy, obtain authorisation, update payroll history reports and prepare detailed journal
  • To complete RTI reports, leaver reports and print P45s; complete submissions on Government Gateway within required timescales
  • Advising clients of the necessary payments to be made to employees and HM Revenue & Customs
  • Production of reports for BACS payments
  • Correspondence with HM Revenue & Customs on all matters affecting the payroll
  • Calculating and processing of pension contributions including set up and administration of schemes under auto enrolment.
  • Liaising with the pension scheme providers on all aspects of the client’s pension arrangements.
  • Preparation of P60, P11D and PSA returns
  • Set up of PAYE schemes
  • Maintaining client files  to specified standards
  • Strategic input into the payroll bureau division and its offering to the wider client portfolio within the firm
  • Successfully build and maintain strong working relationships with existing and new clients
  • To review the payroll email inbox daily and respond to any urgent matters within same day
  • To keep abreast of all current relevant statutory requirements
  • Develop, consolidate product knowledge in order to deliver first class service to customers and support the knowledge within the team as a whole

  • To communicate pension information to all new starters immediately following appointment
  • To update the pension records spreadsheet and reconcile monthly to external reports from pension company
  • To ensure payments are made to pension providers (UK and International)
  • To support all end of year pension reconciliations
  • Compliance with the Data Protection Act and GDPR.
  • Maintaining confidentiality and security of any payroll and employee systems, to meet company, legal and statutory requirements

Key Skills:

  • Minimum 2 years experience of working in an outsourced  payroll bureau environment
  • Minimum of 4 years overall payroll experience
  • Proven knowledge of PAYE, NIC, SSP< SMP, SPP, Pension Schemes, C.I.S Returns and Auto Enrolment rules and legislation
  • CIPP qualified desirable
  • Moneysoft Payroll Manager & IRIS Payroll Professional experience preferred
  • Fully IT literate, with Microsoft package experience
  • English and Maths qualifications at GCSE level (or equivalent)
  • Self-motivation and the ability to work on own initiative

Salary: £18,000 to £23,000 a year (D.O.E)

Hours: 25 hours per week – Flexible Working Options Available.

Job Type: Part time, Permanent

This role is on a part time basis and we are initially looking to employ someone for 25 hours per week between the core hours of 9am and 2pm, 5 days per week. However we do offer flexible working hours (i.e. flexible start and finish times) to reflect the busier and quieter periods in the payroll monthly processing cycle by way of a rostered day off arrangement.
